Company Configuration
The Company Config module is the central administrative hub of the system. It empowers system administrators to define and control the global operational parameters, workflows, and business rules for the entire organization. By toggling these settings, administrators can customize how different modules—such as Finance, Inventory, Field Staff, and Sales—interact and function, ensuring the software perfectly aligns with the company's specific Standard Operating Procedures (SOPs).
1. Employee Expenses
This section governs the rules and approval hierarchies for internal employee expense claims.
- 1. Employee can raise request for Local Conveyance: Enables or disables the ability for employees to submit reimbursement claims for local travel.
- 2. Employee can raise request for Inter city Travel expenses: Controls whether employees can claim expenses incurred during out-of-city business travel.
- 3. Top level of employee for expenses approve: Assigns the ultimate authority (highest-level manager) required for final expense claim sign-off.
- 4. First level of employee for expenses approve: Defines the immediate reporting manager or primary contact responsible for the initial review of expense claims.
- 5. Employee can raise request for expenses: A master toggle that turns the entire expense requisition feature on or off for the workforce.
2. Employee Master
Configures the system generation rules for employee identification codes.
- 6. Mention a three-digit prefix for the permanent employee code: Sets a standardized 3-letter prefix (e.g., "EMP") to automatically attach to all permanent staff IDs.
- 7. Should the system-generated employee code be editable?: Determines if HR or admins have the permission to manually override or change auto-generated employee IDs.
- 8. Mention a three-digit prefix for the contractual employee code: Sets a standardized 3-letter prefix (e.g., "CON") to differentiate contractual or temporary staff IDs.
3. Field Staff Management
Manages tracking, attendance, and route planning rules for on-the-ground personnel.
- 9. Geo Tag restriction required at the time of Visit-in and Visit-out: Mandates the system to capture precise GPS coordinates when field staff log a visit.
- 10. WhatsApp message to be send for Check-in and Check-out: Enables automated WhatsApp notifications to be triggered upon staff attendance punches.

- 13. Buffer length for geofencing in meters: Defines the acceptable GPS radius (e.g., 1000m) around a target location for a check-in to be considered valid.
- 14. For which departments should location be captured?: Allows the admin to select specific company departments that require mandatory location tracking.
- 15. Check in and Check Out: Configures whether the system allows a single daily attendance punch or multiple check-ins/outs throughout the day.
- 16. Define the tolerance in meters while restricting visit in and visit out: Sets a strict distance tolerance (e.g., 30m) to prevent users from checking in remotely.
4. Finance Settings
Controls the invoicing, taxation, and financial workflow parameters for both sales and purchases.

- 18. Payment approval or payment posting option required: Enables a secure maker-checker workflow before financial payments are officially posted to the ledger.

- 26. Show Other Party Type for Inward/Outward: Defines visibility parameters for tertiary party types during stock inward and outward movements.
- 27. Is Raw Material for Production Available: Enables the system to track and manage manufacturing raw materials alongside standard finished goods.
- 28. Show Calculation button in Quotation: Adds a manual trigger within the quotation screen to recalculate totals, taxes, and discounts.
- 29. Is freight Charges be the part of Sale Invoice with 18% Tax?: Configures whether shipping and logistics fees are automatically taxed at 18% on the final bill.
- 30. Follow the PR Process?: Enforces a formal Purchase Requisition (PR) approval workflow before allowing the generation of Purchase Orders.
- 31. Define who can approve Purchase Requisitions: Assigns the specific employee, role, or department authorized to approve internal purchase requests.
- 32. Is a quotation from the party required for Purchase Requisitions?: Mandates that a vendor's price quote must be attached before a PR can be processed.
- 33. Target Allocation will be shown based on Sales Order / Sales Invoice: Determines if employee sales targets are measured against booked orders or finalized billed invoices.

5. General Setting
Manages the global UI, branding, and integration links for the software environment.
- 36. Upload your company logo for co-branding: Allows the administrator to upload the primary visual logo used across the application UI and exported documents.
- 37. Choose the theme color for the system: Sets the global user interface color scheme (e.g., white) to match corporate branding.
- 38. Show Catalogue After channel partner login: Determines if partners and distributors are immediately redirected to the product catalog upon logging into the portal.
- 39. Quotation Term And Condition: Sets the default legal, pricing, and operational terms applied to all generated sales quotations.
- 40. E Invoice And E Way Bill: Enables API integrations for government-mandated electronic invoicing and digital waybill generation.
- 41. Company Catalog Link: Stores a centralized, shareable URL directing users to the company's digital product catalog.

6. Party Master

8. Sale Order
Defines the strict operational rules, inventory checks, and validation parameters for booking customer orders.

- 53. Show Shipping info (Courier info / Self Drivers): Toggles the mandatory collection of logistics, dispatch, and tracking details on the sales order screen.
- 54. Freight Paid By Party: Determines if the system defaults to the customer (party) bearing the transportation and freight costs.
- 55. Stock to be checked for parent party and negative stock not allowed: Strictly prevents order creation if the transaction would result in negative inventory at the parent hierarchy level.
- 56. Sale Order Minimum Purchase Rate: Defines the absolute lowest price threshold allowed for placing a valid order in the system.
- 57. For which department should the Sale Order Minimum Purchase Price be validated?: Specifies which internal departments are subject to the minimum order rate compliance checks.
- 58. Show Price In Catalogue including gst or not: Toggles whether the digital product catalog displays prices inclusive or exclusive of tax.
- 59. Batch Wise Inventory: Enables strict tracking of products by their manufacturing batch numbers for expiration and recall management.
- 60. Show Sale Orders in my DSR module either Catalogue-wise or as Normal Sale Orders: Configures how daily transactions are grouped and displayed within the Daily Sales Report (DSR).
- 61. At the time of delivery POD Upload is Mandatory: Forces delivery personnel to capture and upload a digital Proof of Delivery (POD) document to successfully close an order.

- 66. Show Warehouse if need to check stock before raising the sale order: Forces the user to explicitly select a specific warehouse to verify inventory before booking an order.
- 67. Select which document should be shown to the Delivery Boy during delivery: Sets the default documentation (Challan vs. Invoice) visible to the logistics team on their mobile delivery app.
- 68. Select the department where the location should be displayed: Binds delivery location visibility to specific operational departments (e.g., Door-Step Delivery teams).
- 69. Employee Link With Warehouse: Mandates mapping a specific user to a designated warehouse, restricting them from processing orders outside their jurisdiction.
- 70. Mention the number of days post due date, to stop sale order: Automatically blocks the system from accepting new orders from clients who have outstanding invoices overdue by this specific number of days.
- 71. Sale Order Stop Per Purchase Rate: Halts order processing if the requested selling rate falls below the item's baseline purchase cost.
- 72. Show Sale Order Status: Toggles the visibility of the order's current workflow lifecycle stage (e.g., Pending, Approved, Dispatched).
- 73. Show Driver Dropdown Department: Specifies which department is responsible for managing and assigning logistics drivers from the dropdown menu.
- 74. Send auto-generated message on sale order generation to respective party: Triggers an instant, automated SMS or Email confirmation to the client the moment their order is booked.
